Our client is looking for a Scheduling Coordinator in a thriving dental practice. This role is responsible for creating the first and lasting impression for each patient. This person greets patients, schedules appointments, answers phones, manages administrative records and financial records. This person is responsible for the coordination of procedures, setting appointments, follow-ups, etc. The Scheduling Coordinator keeps the office organized and running smoothly and exhibits a positive attitude so that each patient has the best service possible.
  • Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.  Utilizes New Patient Information intake form for dental and sleep patients to gather pertinent data and providing guidance during New Patient phone inquiry, and affording staff a clear and thorough understanding of patient’s story and values.
  • Registers new patients, provides necessary paperwork (welcome letter, HIPAA documents), Creates patient charts, records new patient registration, medical history, insurance information. Contacts various dental offices to retrieve patient records, x-rays.
  • Greets visitors and patients entering the practice and alerts appropriate staff of patient arrivals.  Monitors the entrance into the inner-office to ensure only patients and authorized guests enter beyond the waiting room area.
  • Schedules, monitors and adjusts patient appointments to maximize the patient care and reach practice profit target.  Keeps staff and doctor informed of scheduling problems, issues and concerns.
  • Calls patients two days prior to confirm scheduled appointment time.
  • Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, insurance information, etc.)  Organizes daily charts and provides to clinical staff.
  • Performs necessary duties associated with checking patients in and out.  Enters type of treatment planned for the next appointment, and the amount of chair time, doctor time and assistant time needed.  Coordinates patient referrals to specialist offices needed.
  • Prepares Medical History and appropriate paperwork for next day hygiene patients.
  • Manages Solutions Reach interface with schedule; reviews, surveys, messages.
  • Communicates with patients regarding financial options.  Reconciles financial records by receiving and recording patient payments.
  • Prepares correspondence; perio letters, memos, condolence letters, and other documents, as requested by doctor.
  • Uses computer, fax, or courier service to transmit information or documents when requested.
  • Keeps the front desk and reception areas clean.
  • Waters plants, both inside and outside on a consistent basis as needed.  Organizes magazines to keep current and neat. Maintain/replenish coffee station supplies.
  • Sort, distribute and organize office mail daily.
  • Process end of day/end of month reports in the absence of the Practice Manager or when necessary.  Update excel spreadsheets; Cumulative Day Report, Blue Sheet.  Provide Post Op Call list, Productivity Report and Collection Report to the Treatment Coordinator(s).
  • Prepares Staff Meeting reporting to include; Solutions Reach, New Patient Monitor; calls and appointed, Referrals, Open Time and Deactivated Patient Records.
  • Adheres to all safety and health regulations.
  • Manages/Administers all HIPAA information. Updates staff as necessary.
  • Previous experience in a dental office - Minimum 1 year
  • Comfortable with Microsoft Office, Dentrix or Eaglesoft
